Privacy Policy
Lab records are confidential. This policy explains what we collect, why, and the choices you have.
01What this policy covers
This policy explains how we handle personal data collected through this website and through the Futqual laboratory information management service. It covers lab staff who use Futqual, clients of labs who use the Client Portal, and visitors who contact us or sign up for a trial.
Labs that use Futqual decide what sample, client and result data they store. For that data, the lab is the data controller and we process it on the lab's instructions.
02Data we collect
From website forms: your name, work email, lab name, city, lab type, fields of testing, sample volume, accreditation status and any message you write.
From lab accounts: user names, email addresses, roles, method authorisations, sign-in times and actions recorded in the audit trail.
From lab operations: sample records, client details, test results, instrument records, report files and signatures entered by the lab.
Technical data: IP address, browser type and session data needed to keep the service secure and working.
03How we use it
- To create trial and paid accounts and send login credentials.
- To run the service: store records, generate reports, deliver reports to clients and run AI Report Checker on the lab's own data.
- To reply to enquiries and provide support.
- To keep the service secure, detect misuse and maintain audit trails.
- To send service notices such as calibration reminders, release alerts and billing messages.
04AI Report Checker and your data
AI Report Checker reads a lab's results only to flag possible errors for that lab. It does not change results, sign or release reports.
A lab's results, client data and reports are not used to train models that serve any other lab.
06Security
Data is encrypted in transit and at rest. Access is limited by role, sign-in is protected, and every change to a record is written to an audit trail. Released reports are locked and can only be amended with a recorded reason.
07Retention
Lab records are kept for the retention period the lab sets, which is often required by its accreditation body or regulator. When an account closes, the lab can export its records, after which they are deleted from active systems within 90 days and from backups within a further 90 days.
Website enquiries are kept for as long as needed to respond and follow up, and no longer than 24 months.
08Your rights
You can ask to access, correct, export or delete your personal data, and withdraw consent for optional messages. If your data was entered by a lab, we will pass your request to that lab, which decides on it as controller.
To make a request, use the contact form on this website and choose the topic that fits best.
10Changes to this policy
If we change how we handle data in a way that affects you, we will publish the revised policy on this page and notify account administrators by email before the change takes effect.
